Production Coordinator Reporting to Production Manager

Bilingual Chinese 

 The Production Coordinator is responsible to:

ü Maintain mutually beneficial commercial relationships with the company’s vendors.

ü Ensure that the quality of the product meet the company’s standards and is in compliance with US laws and individual retailer’s requirements as applicable.

ü Ensure that all products arrive in time to meet the company’s commitments to its retailer customers.

ü Ensure that information regarding production and shipping is continually updated and available to all company stakeholders that require it.

  Procurement

The Production Coordinator is responsible to provide the vendor with all product details that they require.

This includes:

Ø Reviewing the Tech-packs before they are sent out to ensure that all information is included.

Ø Ensuring that vendors are sent the required color cards, wash standards, artwork, label packages and specialized trim.

Ø Send the Production Purchase Orders, UPC information and packaging requirements to the factory.

Ø Providing the vendors with all special retailer compliance requirements.

Ø Providing the vendors with the company’s and retailer lab testing requirements and standards.

Ø Ensuring that the Payment Request Form is received from the factory and coordinate with Import Department on the payment.

 Approvals

The Production Coordinator is responsible to ensure that all aspects of products that move into production have been approved prior to the start of production.

This includes:

Ø Tracking all items necessary to approval.

Ø Working with the Production Manager, the Design Department and the Technical Design Department to ensure that approvals are being made consistent with the company’s standards and based on what is commercially acceptable to the company’s retailer customers.

Ø Communicating to the vendors the comments from the Design and Technical Design Departments.

 Production and Quality Control

The Production Coordinator is responsible to track the manufacturing process to ensure that the product meets the agreed upon purchase order requirements.

This includes:

Ø Requesting “Work in Process” (WIP) reports from all vendors and reviewing them to confirm that the vendor will meet the required ship dates.

Ø Reviewing “Pre-production”, “Top of Production” and or “Shipment” samples for general quality compliance as well as trim quality and placement.

Ø Coordinating with the company’s Buying Agents to ensure that they have a clear understanding of the company’s quality standards when they perform inspections.

Ø Coordinating retailer inspections with the vendors as required.

Ø Ensure that vendors have submitted passing lab test reports prior to shipping.

Ø Coordinate the submission of fabric, garments and trim to retailer nominated laboratories when applicable.

Ø Coordinate the submission of garment samples to retailers for retailer sample approval as applicable.

Ø Ensure that Lab Test Reports are received in a timely manner.

 Consolidation and Shipping

Ø The Production Coordinator is responsible to coordinate shipping with the Import Department.

 Payments and Compliance Failures

The Production Coordinator is responsible to ensure that vendors have submitted the necessary documentation so that they can be paid and to negotiate with the vendors for compensation if they have failed to meet the requirements as agreed.

This includes:

Ø Ensuring that the Accounts Payable department has all of the detailed bank information to make Wire Transfer payments as applicable.

Ø Ensure that negotiated discounts, air freight, chargebacks etc. are processed when the vendor fails to meet their agreed upon commitments.

 Information and Communication

The Production Coordinator is responsible to ensure that all company stakeholders have the most timely and accurate information available to them regarding production and shipping status.

This includes ensuring that:

Ø Styles are set up correctly with all of the proper attributes in the company’s back office computer system.

Ø Production Purchase Orders are entered correctly with all of the necessary details and ship dates and quantities are updated whenever they change.

Ø The Design and Technical Design Departments are notified of any Production Department approved changes made to garments.

Ø The Sales Department is notified of any shipping delays that will impact delivery to the company’s retail customers.

Ø That the Sales and Allocation Department are aware or any special handing such as ticketing that must be done at the warehouse
